Employee profiles overview

Understand the employee profile page — tabs, fields, and what information you can manage.

Every employee in Begin has a detailed profile page. Admins and managers use it to manage personal information, contracts, documents, identifiers, permissions, and notification settings. This article explains what each tab contains.

How to open an employee profile

Click Employees in the left sidebar, then click on the employee's name. The profile page opens with several tabs across the top.

Profile tabs explained

General

The default tab. Contains: first name, last name, personal code, department, role, status (Active/Inactive/Archived), export code, and additional info fields. Also includes the login section with email, phone, PIN (for tablet/kiosk login), password, and a Send invite toggle.

Personal

Contains the employee's personal details including birth date, age (auto-calculated), gender, languages, driving license, vehicle registration number. Includes a Children section where you can add dependents with their name, personal code, date of birth, and gender. Also has bank information (bank name and account number), personal contact information (personal email and personal phone), and address (country, city, street, house/apartment, postcode).

Note: This tab requires the PIM feature to be enabled.

Time-off balance

Shows the employee's absence balances. Displays a table with all absence types, whether an accrual policy is assigned, the current Balance, hours already Taken, and Upcoming approved requests. You can edit accrual policy assignments from this tab.

Permissions

Configure which features and data this employee can access. Permissions control visibility of timesheets, schedules, requests, and other modules. This tab is only visible to Admins or users with the can_update_users permission.

Contracts

Lists all current and past employment contracts. Each contract includes start and end dates, contract type, contract number, workload, working hours, wage information, and comments.

Documents

Upload and manage employee-related documents such as signed contracts, certificates, or other files.

Assets

Track company assets assigned to the employee (e.g., laptop, phone, access card).

Note: This tab requires the PIM feature to be enabled.

Identifiers

Manage the employee's biometric identifiers — fingerprints, faceprints, RFID cards, and iButtons used for time registration on physical devices.

Notifications

Set up email and push notification preferences — including absence notifications, fever alerts, and clock-in/out reminders with per-day schedules.

Settings

Employee-specific settings that may override company-wide defaults.
