How to register fingerprints and RFID cards

Before employees can clock in with a fingerprint reader, their identifier has to be enrolled on the device and then linked to them in Begin. This article covers the whole process. Available to Admins.

Begin supports fingerprints, faceprints, RFID cards and iButtons. Faceprints have their own article.

There are three steps, and the order matters:

  1. Enroll the identifier on the physical device

  2. Link it to the employee in Begin

  3. Assign it to your devices

Step 1 — Enroll the fingerprint or card on the device

The device doesn't know your employees, so it won't ask you to pick one. It gives each new identifier a sequence number and shows it on screen. Write that number down together with the employee's name — you'll need it in step 2.

On the device:

  1. Tap the gear icon on the device screen.

  2. Enter the device password, if one is set.

  3. Select Users → Add fingerprint (or Add card).

  4. For a fingerprint: the employee presses the same finger to the sensor three times. For a card: hold the card against the lower right corner of the device.

  5. Record the employee's name and the sequence number shown on screen.

  6. Select Add more to enroll another, or the back arrow to finish.

Step 2 — Link the identifier to the employee

New identifiers sync from the device to Begin automatically, but they arrive unlinked — listed by sequence number with no name attached.

  1. Go to Devices in the left sidebar and select Identifiers.

  2. Find the sequence number you noted in step 1.

  3. Click Select employee and choose the employee from the drop-down.

  4. Save.

You can also view and manage one person's identifiers under Employees → the employee → Identifiers tab.

To confirm it worked: the next time that employee clocks in, the device should display their name.

Replacing a lost card: enroll the new card as in step 1, open the employee's Identifiers tab, and use Replace. The old card is unlinked and the new one inherits its device assignments.

Step 3 — Assign identifiers to your devices

An identifier only works on the devices it has been assigned to.

If Are all fingerprints automatically linked with all biometric time clocks? (Settings → Biometric terminal) is turned on, every identifier is assigned to every device automatically and you can skip this step. It is off by default in most accounts.

Otherwise:

  1. Go to Devices → Identifiers.

  2. Select Assign all identifiers in the top right corner and confirm.

  3. To assign selectively instead, set the devices per identifier in the Devices column.

Deleting an identifier

Select the identifier and click Delete. This removes it along with all of its device assignments.
