How PIN codes work for phone registration

Understanding PIN lengths and types — 4-digit, 6-digit, and 12-digit PINs for phone clock-in.

When employees register their working time by phone call, they use PIN codes to identify themselves and their work assignment. Begin uses three different PIN lengths depending on the situation. This article explains how they work.

4-digit PIN — General clock-in

A 4-digit PIN is used for basic clock-in and clock-out by phone, without selecting a specific work object. This is the simplest option:

  • The employee calls the Begin registration phone number

  • They enter their 4-digit PIN on the phone keypad

  • Begin records the clock-in or clock-out for that employee

This registration type appears as Phone in the timesheet.

6-digit PIN — Object-specific registration

A 6-digit PIN is used when the employee needs to register time against a specific work object:

  • Each employee-object combination gets a unique 6-digit PIN

  • When the employee enters this PIN, Begin records both the clock-in and the object assignment

  • The object PIN can be viewed on the object's detail page

12-digit PIN — Object with PIN device

A 12-digit PIN is used for objects that have associated PIN devices (hardware terminals). This longer PIN provides additional security for device-based phone registration.

Requirements for phone registration

  • Your Begin plan must include the IVR (phone registration) feature

  • The employee must have a phone number set in their profile

  • When a phone number is added to an employee's profile, Begin automatically generates their PIN codes

  • If the phone number is removed, all IVR records for that employee are deleted

Where to find an employee's PINs

PINs are generated automatically by Begin based on the employee's phone number and their object assignments. The 4-digit general PIN is always available; 6-digit and 12-digit PINs are created when the employee is assigned to objects.
