How to manage RFID cards and identifiers

How to assign, replace, and manage RFID cards, fingerprints, and other identifiers for employees.

Begin supports multiple identifier types for biometric and card-based time registration: fingerprints, faceprints, RFID cards, and iButtons. This article explains how to manage them.

How to view all identifiers

Go to Devices in the left sidebar, then click the Identifiers button to open the identifiers page. You will see a list of all registered identifiers across your company, including their type, assigned employee, and linked devices.

Identifier types

  • Fingerprint — biometric fingerprint template registered on a fingerprint reader

  • Faceprint — biometric face template registered on a face reader

  • RFID card — contactless card held against a reader. Shows as "RFID card" in timesheet registrations

  • iButton — a physical key fob used with certain readers

How to manage identifiers for a specific employee

  1. Go to Employees and click the employee's name

  2. Click the Identifiers tab

  3. Here you can see all identifiers assigned to this employee and manage their device links

How to replace an RFID card

If an employee loses their RFID card or needs a replacement:

  1. Register the new RFID card on the fingerprint reader device

  2. Go to the employee's Identifiers tab

  3. Use the replace action to swap the old RFID card for the new one

  4. The old card is unlinked and the new card inherits all device assignments

Linking identifiers to devices

By default, the setting "Are all fingerprints automatically linked with all biometric time clocks?" (in Settings → Biometric terminal) controls whether new identifiers are automatically assigned to all devices. When this is off, you need to manually assign identifiers to specific devices.

You can use the bulk actions to assign all to devices or unset from all devices for any identifier.

Deleting an identifier

To remove an identifier, select it and click Delete. This also removes all device assignments for that identifier. The employee will no longer be able to use that fingerprint, card, or faceprint to clock in.
