Before planning shifts, you need to enable the schedule module, create shift templates, and configure your settings. This feature is available to Admins and users with schedule management permissions.
Step 1: Create shift templates
Shift templates define the types of shifts your employees work (e.g., morning shift, evening shift, night shift). You must create at least one template before using the scheduler.
Go to Settings → Shifts.
Click Add shift.
Fill in the shift details:
Name and Initials — how the shift appears in the schedule
Color — the color of the shift block in the calendar
Start time and End time
Pauses — define any automatic break rules
Click Save.
You can also create absence types (vacation, sick leave, training, etc.) in Settings → Absences. These work the same way and appear in the scheduler alongside shifts.
Step 2: Enable the work schedule module
Go to Settings → Working Schedules.
Choose how you want to use schedules:
Yes — if you use multiple different shifts (e.g., morning and evening shifts). You will manually plan which shift each employee works each day.
Yes, fixed hours — if all employees work the same shift. Select the shift template, and the system will automatically generate the same shift for all employees. You only need to plan one month — after confirming, the schedule auto-generates for three months ahead.
Click Save changes.
Step 3: Configure additional settings
On the same settings page, you can also enable:
Overlap checking — prevents planning overlapping shifts for the same employee
Compliance checking — automatically validates the schedule against labor law requirements (rest periods, maximum hours) and shows warnings for violations
How to access the scheduler
Click Scheduler in the left sidebar. The scheduler shows a monthly calendar grid where you can create and manage shifts and absences for employees.
Permissions
Admins can configure settings, create/edit shifts, and publish schedules
Managers can create and edit shifts but may not be able to publish (depending on permissions)
Publishing makes the schedule visible to employees
