Comparing Scheduled vs. Worked Time

Written by Merilin Peetris

The Scheduled vs. Worked Time feature allows managers and administrators to easily compare planned work schedules with actual registered working hours. This helps identify deviations, ensure compliance, and improve workforce planning accuracy.

How the Comparison Works

Once a work schedule has been confirmed, the system automatically compares:

  • Scheduled time (planned shifts and absences), and

  • Worked time (hours registered via the mobile app, biometric devices, or manual entries)

Any discrepancies between the two are clearly highlighted on the timesheet.

What the Comparison Shows

The comparison helps you quickly identify situations such as:

  • Employees starting earlier or later than scheduled

  • Employees ending work earlier or later than planned

  • Missing clock-ins or clock-outs

  • Overtime or undertime compared to the scheduled shift

  • Working time registered on a different object than scheduled

Where to View the Comparison

The comparison is visible on the Timesheet, where:

  • Scheduled hours serve as the reference

  • Actual working hours are displayed

  • Differences are visually indicated for easy review

This allows managers to quickly assess compliance on a daily, weekly, or monthly basis.

Important Notes

  • The work schedule must be confirmed for the comparison to take place.

  • If schedules are not confirmed, the system cannot reliably compare planned and actual hours.

  • Confirmed schedules also help prevent unintended changes after planning is finalized.

Why Use Scheduled vs. Worked Time Comparison

Using this feature helps organizations:

  • Improve attendance accuracy

  • Detect scheduling or registration errors early

  • Support payroll validation

  • Ensure compliance with labor rules and internal policies
