Planning Work Schedules

Once shifts have been created and the Work Schedule feature is enabled, you can begin planning employees’ work schedules. The system provides several tools to make scheduling faster and more efficient.

Below are step-by-step instructions for planning shifts.

Adding a Shift

To add a shift to the schedule:

  1. Select the employee from the list on the left.

  2. Choose the date on which you want to add the shift.

  3. Add the shift using one of the following methods:

    • Double-click the selected date

    • Right-click the date and select Add from the menu

    • Drag and drop from the shift menu

Setting Up the Shift

When the shift window opens, a Default Shift is displayed. This shift is prefilled with standard working hours (e.g., 08:00–16:30) and no subtype. It is intended for quick scheduling when detailed shift types are not required.

When creating a shift, make sure to review or fill in the following fields:

  • Employee – confirm the correct employee is selected

  • Type – choose whether the entry is a Shift or an Absence

  • Subtype – select the appropriate subtype from previously created shift or absence types

Once a subtype is selected, the remaining fields are automatically populated based on the predefined shift details.

Ways to Plan Shifts

Shifts can be planned using two main methods:

1. Manual Planning

Manual planning allows full flexibility:

  • Copy and paste individual shifts

  • Select multiple shifts at once (by dragging over them)

  • Move or copy-paste multiple shifts in bulk

2. Repeating Shifts

Repeating shifts are ideal for scheduling recurring work patterns.

Using Repeating Shifts

At the bottom of the shift creation window, enable the Repeating Shifts checkbox. This opens additional options where you can define:

  • Recurrence rules (days, duration, frequency, etc.)

Repeating shifts can be assigned in two ways:

By Employee

  1. Open the employee selection list.

  2. Select one or more employees.

  3. The repeating shift will be applied to all selected employees.

By Department

  1. Open the department selection.

  2. Choose a department from the list.

  3. All employees in that department will be assigned the repeating shift automatically.

After selecting the employees or department, define the shift details (type, subtype, working hours, and recurrence rules), then save the schedule.
