Confirmation of Working Hours

Written by Merilin Peetris

Would you like all working time data to be reviewed and approved before it is included in reports?
The software allows you to configure confirmation workflows that ensure accuracy, accountability, and data integrity.

1. Enabling Confirmation Before Reporting

You can require working hours to be confirmed before they appear in reports.

To enable this setting:

  1. Go to Settings → Reports.

  2. Select the option to include only confirmed hours in reports.

Important:
If this setting is enabled, any unconfirmed working hours will not appear in reports until they are approved on the timesheet.

2. Why Confirm Working Hours?

In larger organizations, confirmation ensures that:

  • Working hours are reviewed and approved before payroll or reporting

  • Data cannot be modified after monthly summaries are finalized

  • Accountability is maintained across teams and departments

3. Manual Confirmation of Individual Entries

To confirm working hours one entry at a time:

  1. Locate the relevant time entry on the timesheet.

  2. Click the checkbox at the end of the time entry row.

  3. When the checkbox turns green, the entry is confirmed.

4. Mass Confirmation of Working Hours

To confirm multiple entries at once:

  1. Click the selection box on the left side of the timesheet to select all visible time entries.

  2. Once selected, an action bar appears, allowing you to:

    • Confirm selected entries

    • Remove confirmation

    • Delete selected entries

This is especially useful when confirming an entire month’s working hours in one action.

5. Two-Step (Multi-Level) Confirmation

For organizations with more complex approval structures (e.g., team leader → accountant), the system supports multi-level confirmation.

To use this feature:

  • Appropriate user rights must be assigned to each role involved in the confirmation process.

  • Only users with the required permissions can approve working hours at each stage.
