User statuses and changing user status

A guide on how to change an employee's status, why to do it, and how the different statuses work

In the software, it is possible to choose between three different statuses. What does a status do, and when to choose which one?

  • Active - all employees who regularly register their working time or have a user for software administration must have the status. When adding an employee, this status is automatically set. System should have at least one user with active status (usually main admin)

  • Inactive - the status should be selected if the employee has stopped registering regular working hours, but you still need to see their data on the timesheet, reports, or work schedule. However, this status frees up one limit place for you, so after making the employee inactive, you can add a new employee to the software. An employee in inactive status can no longer log into the software.

  • Archived - status should be selected if the employee has finished registering regular working hours, and you do not need to see the employee's data on the timesheet, report, or work schedule. Also, archiving an employee results in their phone number, e-mail and identifiers being deleted. In the future, it will be possible to change the status of an archived employee back to active/inactive, and previous employee data can be displayed again on the timesheet, report, and work schedule. This status frees you one limit place, so after making the employee archived, you can add a new employee to the software.

    N.B. Changing employee's status from archived back to active will not restore their phone number and e-mail.

How to change employee status?

Open employee's profile and on the page "General", third row is the "Status", change to your liking and "Save changes"

NB! We do not recommend overwriting the data of the departed employee with the data of the new employee. It is enough only to change the status of the departed employee, and you can add a new employee with personal data.
