How to simplify work schedule planning?

Once you have created the shifts and activated the work schedule feature, you can start planning employees' work shifts.

The software offers several options for this – below, you'll find step-by-step instructions.


Adding a Shift

To insert a shift into the schedule:

  1. Select the employee from the left-hand list.

  2. Choose the date on which you wish to add the shift.

You will have two ways to add it:

1. Double-click on the date

  • Simply double-click on the selected date.

2. Right-click on the date

  • Right-click on the date and select “Add” from the pop-up menu.


Setting Up the Shift

In the pop-up window a “Default shift” is shown—this shift is already prefilled with time (08:00–16:30) with no subtype. This is intended for quick shift creation when you’re not using detailed shift types.

When adding a shift, ensure you fill in:

  • Employee – confirm the correct employee is shown.

  • Type – choose whether it's a Shift or an Absence.

  • Sub type – pick the appropriate subtype (any previously added shift or absence types from the Shifts / Absences menu).

Once a subtype is chosen, remaining fields are automatically filled, according to your shift details.


Ways to plan Shifts

Shifts can be added two ways:

  • Manually – with manual planning you can:

    • Copy and paste individual shifts;

    • Select multiple shifts at once (by dragging over them), then move or copy‑paste them in bulk.

  • Repeating shifts – ideal for adding repeated work patterns automatically.


Using Repeating Shifts

At the bottom of the shift‑addition pop‑up, there's a checkbox labeled “Repeating shifts”. Activating it opens additional options to define recurrence rules (e.g., days, duration, etc.).

You can assign repeating shifts in two ways:

  1. By employee

    • Open the employee selection list.

    • Choose one or more employees.

    • The chosen repeating shift applies to all selected employees.

2. By department

  • Click on the department selection.

  • Choose the department from the list.

  • All employees within this department will be assigned the repeating shift.

After selecting employees or a department, enter the shift details (type, subtype, times, etc.) and save the recurring schedule.
